01 · The starting point
Sören managed his portfolio from Germany, with no trusted representative on the island. Urgent repairs got done; everything else waited. Tenants had no local point of contact.
He was not looking for just an agency. He wanted someone who would value the portfolio and help him maintain, protect and grow the value of his properties. In other words: a system, not a contact.

03 · The 4 pillars of the system
Structure
- Management dashboard shared with the owner: the whole portfolio unit by unit (contract, index, dates, deposit, status, goal)
- Status of every open case, goals per phase, KPIs and a live task plan
- Digital folder organised per unit, with all documentation located and centralised
Models
- 3-phase roadmap agreed in the contract: Stabilisation (0–3 months), Recovery and optimisation (3–6 months), Scale and revaluation (6–12 months)
- Numerical KPIs per phase, each with tangible evidence
- Property sheet per home: inventory, photos, issues, proposed strategy and owner's comments
- Official letters with our own template for rent updates and contractual communications
Procedures
- On-site visits to every managed home, grouped into 2 days, with a standardised visit kit
- 7-step collection protocol, from a friendly reminder 2 days before the due date to documented escalation, with template messages for each step
- Tenant communication centralised in one local channel
- Representation of the owner at the community meeting, with a report afterwards
Management and control
- Calendar of due dates, indices and notices: 100% of contracts loaded, 0 missed dates
- Overdue rent updates reviewed and formally notified as the law requires
- Legal non-renewal notice sent within the deadline to bring a home back to market price
- Monthly payment control unit by unit; weekly and monthly reports with goals, KPIs and next steps; utility regularisation started

05 · In the client's words
★★★★★
“During my search for a new real estate management company in Fuerteventura, which does not only provide the necessary experience and local contacts on the island, but does also value my existing investment portfolio whilst being able to support me in maintaining, securing and further expanding the existing properties and values, RockOceanGroup has totally convinced me. The RockOceanGroup-Team combines modern methods and techniques with expert knowledge on the real estate market in Fuerteventura while offering personal contact and consulting. For the first time in a longer period, I feel that my property is managed towards the future, not only towards maintaining the past achievements.”
Sören — owner, Costa Calma (Fuerteventura)
